1. What is Quality Management System? What are its benefits?

Quality Management Systems

Quality Management System is defined as “A set of corresponding activities to direct and control an organisation in order to improve the value and efficiency of its performance.”

An organisation can have various benefits from having an efficient Quality Management System (QMS) in place. The main goal of the QMS is the professional relationship between the client and the supplier working together for mutual profit. To achieve this goal, the business relations of both clients and suppliers should go beyond the organisational boundaries. First understand the system and study each one in detail. The complete QMS should be understood by defining each and every process in detail. This results in the development of good quality goods and services instead of having defective products or services for the products after their development.

QMS maintains quality planning which creates a framework for handling the activities. It also allows the organisation to develop products and services that satisfy the customer’s and their requirements. This is the best tool to accomplish improved customer fulfilment.

1.6.1 Benefits of QMS

A standard Quality Management System ensures that two vital needs are met:

· The customers’ needs: This ensures how capable the company is in delivering the desired products and services without fail and meet customers’ needs and expectations.

· The organisation’s needs: This ensures the products are developed with minimal cost by using existing resources such as tools, technology, people, and data.

QMS enables an organisation meet the goals and objectives set out in its rule and procedure. It gives uniformity and fulfilment in terms of methods, resources, equipments, people etc. It co-ordinates all activities of the organisation at every business interface starting with the meeting of customer requirements and finishing with their fulfilment. It does not matter whether the Organisation is large or small; QMS are required in all types of industries.

 

There are many advantages of having a good QMS in place. Some of them include:

· It improves process control systems.

· It facilitates training.

· It helps boosting the confidence levels of team members.

· It helps to develop products with lower costs.

· It helps decreasing wastage on the product.

· It helps in addressing customers’ requirements.

· It increases market share.

Elements of Quality Systems

The first step of introducing a good quality management into an organisation is to identify the important elements of the quality system. Company objectives should be clearly understood. Procedures should be prepared. Once a good integration between people, process and material is achieved, the next step is putting the integrated system in a state of control. Any deviation from the controlled system must be analyzed and corrected. Some of the main elements of a Quality System are:

1. Time and Timeliness

Maintaining timeliness is very important in delivering products to the customers without any delay. Make sure the deliverables are of a good quality with no defects while delivering on time.

2. Completeness

Make sure everything the customer asked for has been provided.

3. Consistency

Same level of service should be provided to each customer each time.
